What if my candidate is already part of another sourcing?

Sometimes, a candidate you want to add to your sourcing may already be included in another sourcing on Kalent — either your own or one created by another recruiter on your team.

No worries — here’s how it works:

Kalent centralizes candidate data to avoid duplicates

Kalent is built to save you time and prevent unnecessary duplicates.
If a candidate already exists in the Kalent database, you’ll automatically receive a notification.

You’ll see an alert letting you know that this candidate is already part of an existing sourcing, along with the name of that sourcing.

Several options are available to you

Depending on the situation, here’s what you can do:

View the candidate’s profile

You can open the candidate’s profile to view:

  • Their details (CV, LinkedIn, contact info, notes…)

  • The status of their current applications

  • Comments left by other team members

This helps you quickly decide whether to reach out, collaborate with a colleague, or move on to another profile.

Add the candidate to your own sourcing

Yes, it’s possible!
Even if a candidate already exists in another sourcing, you can still request to add them to yours. Their profile will then be imported into your sourcing.

  • You’ll have your own conversation history

  • You can move them through the process at your own pace

  • You won’t interfere with your colleague’s pipeline

Simply click "Transfer" — your colleague will receive a notification and must approve the request to complete the transfer.

Avoid duplicate outreach

That’s why a candidate can’t be in two sourcings at the same time.

If you see that a candidate is already in an active conversation with another recruiter, it may be better to:

  • Give them some time

  • Or coordinate with your colleague to unify the outreach

Kalent ensures team transparency while still respecting each recruiter’s workflow.
